Office Manager

Description:

A busy Private Medical Practice specializing in Otolaryngology (ENT) is looking for an initiative-taking, hands-on Office Manager (OM) with excellent interpersonal skills to work closely with Administration. The OM will supervise the daily operations of the medical practice. The ideal candidate should be dedicated, self-disciplined, resourceful, and compassionate. This position requires extensive knowledge and experience of medical office management. The ideal candidate will be proficient in EMR, with a strong understanding of insurance billing practices and preferred clinical experience. The candidate should possess excellent problem solving, verbal/written communication and decision-making skills.

Primary Responsibilities to Include:

  • Effective and efficient management of clinic operations, including oversight and support of all staff and providers and ensuring clerical and clinical staff follow operational procedures.

  • Supplying advanced analytical data and reporting to physician monthly

  • Human Resources duties will include employee recruiting and retention, onboarding new hire employees, approving PTO requests, reporting bi-weekly payroll to central business office, conflict resolution and tracking and managing employee performance including evaluations, disciplinary action and terminations.

  • Ensuring established polices and procedures are followed, as well as updating and implementing new clinic procedures as necessary

  • Medical and Office supply management

  • Proactively work patient accounts receivables and collections

  • Prepare and execute monthly staff meetings with all staff

  • Assisting front desk employees with general office responsibilities when necessary, including greeting patients, answering multi-line phone system, appointment scheduling, patient check in and check out, insurance verification and medical records processing

  • Any other duties assigned by Physician, Practice Manager or Administrator.

 

This position will work closely with the Central Business Office and will assume responsibility for clinic financial goals. Understanding that compassionate care is the core of our practice is essential.

 

Qualifications:

  • Bachelor’s Degree/ CPC or CPB preferred

  • 3-5 years management in clinic setting preferred

  • 3-5 years Private Medical Practice experience preferred
